A receipt photographed at the supplier is a record. The same receipt found in a coat pocket in March is a guess with a number on it.
Because expenses are recorded on the same admin a manager already has open, and the receipt is attached as an image to the row, the capture happens at the point of spending rather than at the end of the quarter.
Attribution matters as much as the amount. Knowing which member of staff incurred a cost, and under which category, is what turns a spend total into a question somebody can answer.
What this does not do is reconcile to a bank feed or produce statutory accounts. That is the accountant's work, and the point of recording cleanly is to make it shorter rather than to replace it.
